Lighthouse Child & Family Services (LCFS) is seeking a highly motivated, organized, and detail oriented Intake and Administrative Coordinator (IAC) to join our Operations department and provide support to the School-Linked Behavioral Health (SLBH) Program Director and staff. You’ll manage intake processes, track data, assist with staff training, and help keep things running smoothly. If you can multi-task with ease and work collaboratively with others, while maintaining the ability to work independently when necessary, we want to hear from you!

What You’ll Be Doing:
Intake & Referral Management: Process and track client intakes and referrals for the SLBH program. Communicate with internal and external contacts to keep things running smoothly. Manage caseloads, waitlists, and ensure records are accurate.
Support the SLBH Program Director: Help manage the Program Director’s calendar, including meetings, team events, and school personnel meetups. Take detailed notes in meetings and track action items. Ensure new hires and staff stay on track with training requirements. Help with ordering supplies and maintaining inventory for the SLBH department.
Data Collection & Management: Manage SLBH/ECMH grant forms, ensuring accuracy and timely completion. Work with staff to track errors and ensure smooth processing. Help create and distribute surveys to schools and track program data. Organize data in Excel for program evaluation and review.
Creative & Outreach Support: Monitor school district social media pages and school websites; work with LCFS social media staff to promote community events for school partners. Use Canva to draft monthly SLBH newsletters.
Other Responsibilities: Cross-train with other Operations staff to ensure seamless coverage during absences. Other administrative to assist the team as needed.
What We’re Looking For:
Skills & Abilities:
- Strong organizational, administrative, and communication skills.
- Ability to multitask and stay cool under pressure.
- Proficient in Microsoft Office products such as Teams, Excel, Outlook, etc., and an understanding of modern technologies and how to troubleshoot issues/errors.
- Experience with Canva or similar design tools is a plus.
Education & Experience
- High school diploma or equivalent required
- 2+ years of administrative/customer service experience (preferably in a mental health or medical setting)
- A reliable car, driver’s license, valid auto insurance, and an acceptable driving record.
- Ability to pass a criminal background check facilitated through MN DHS that may include fingerprinting and photo identification.
Work Schedule & Setting
- Full-time (40 hours/week), Monday through Friday.
- Primarily remote, with one day per week in our Cambridge office and other light travel as needed
- Occasional travel to other LCFS locations or schools for in-person meetings and events.
